Your back office, set up the way we run our own.

Your books and your back office, set up the way we run our own companies: with clear playbooks, AI that does the routine review, and a person who checks the work. For Western New York small businesses first.

How we work

AI drafts and checks. A person reviews.

Every engagement follows the same pattern we use in our own companies. We write the process down first, so everyone knows the rules. AI handles the routine drafting and checking against those rules. A person reads the result before anyone relies on it.

Pricing is scoped per business. We'd rather understand how yours runs before we quote, so every engagement starts with a conversation.

Lead offer

AI Virtual Controller

Bookkeeping process and a monthly controller review for owner-run trades and service businesses. You get written rules for how your books are kept, a short monthly routine, and someone checking the work every month.

We built this system to keep DRXL ONE's own books, then turned it into a kit we can set up for another business.

Pricing: scoped per business. Tell us how your business runs and we'll quote it.

Who it's for

  • Owner-run plumbing, HVAC, electrical, roofing, landscaping and similar home-service businesses in Western New York.
  • Businesses on Xero, or willing to move to it.
  • Owners who already work with a CPA, or will hire one, and can spend about an hour a week on bookkeeping by following written steps.

What you get

  • A written bookkeeping system with your business already in it: an accounting manual, step-by-step procedures, a monthly close playbook, a chart of accounts set up in Xero, a vendor coding guide and journal entry templates.
  • Registers for mileage, fixed assets, loans, subscriptions, vendors and insurance, plus a calendar file with every recurring close task and renewal date.
  • A monthly Controller Memo: what changed and why, findings to fix, recommended journal entries, upcoming renewals, and a short KPI dashboard.
  • A year-end checklist of what to hand your CPA.

How it works

  • Setup: we install the written system in your business and Xero. If you are already on Xero and reconciled, setup takes about two weeks.
  • Days 1 to 4 each month: you or your bookkeeper reconcile the bank and cards, following the playbook.
  • Day 5: we pull your Xero reports and run an AI-assisted review against your own written rules.
  • A person reads and checks every memo before it goes out. You receive it by day 10, post the entries you agree with, and lock the month.
  • If a report or statement is missing, you get a short note listing what we need. We don't guess numbers.

What it is not

  • Not CPA services. DRXL ONE is not a CPA firm. We don't prepare or sign tax returns, give tax advice, or perform audits, reviews or compilations of financial statements. Tax questions go to your CPA.
  • Not data entry. You or your bookkeeper keep doing the day-to-day coding and reconciliation.
  • Not payroll.
  • No access to your money. We never hold bank logins, move funds or pay bills. We recommend entries; you decide and post them.
  • Not unsupervised AI. The AI drafts and checks; a person reviews everything before it reaches you.

AI-Ops setup

The engagement that sets up AI tools in your business. We look at how your back office runs, pick the few places where AI can take routine work off your plate, and install them with written playbooks and a review step.

It is the same approach we use to run our own companies: write the process down, let AI handle the routine drafting and checking, and keep a person responsible for the result.

Pricing: scoped per business. Tell us how your business runs and we'll quote it.

Who it's for

  • Western New York small businesses whose owner is still the back office.
  • Teams that have tried AI tools on their own and want them to fit how the business actually runs.

What you get

  • A plain-language map of how your books, sales process and paperwork run today, and where AI can help.
  • The tools set up for your business. Depending on what you need, that can include the AI Virtual Controller, a discovery-to-proposal workflow for sales, and document templates.
  • Written playbooks for each tool, so your team knows who does what and who checks it.
  • A working session to train your team on the new routines.

How it works

  • A discovery conversation about how your business runs and what takes up your time.
  • A short written plan: what we would set up, in what order, and what we would leave alone.
  • Setup and training, one tool at a time.
  • Your team runs it. If you want ongoing review, we can stay on for that, as with the Controller's monthly memo.

What it is not

  • Not a software subscription. The tools and playbooks are set up for your business.
  • Not a replacement for your accountant, attorney or IT provider.
  • Not AI left to run on its own. Every tool we set up has a person who reviews its output.

Training & workshops

Hands-on sessions for small-business teams and for the trades, delivered directly or through chambers, BOCES and trade programs.

The sessions draw on the work of running Find A Pro WNY and QuickConnect Sites. The trade sessions run through the same kinds of organizations the 30 Under 30 awards work with.

Pricing: scoped per business. Tell us how your business runs and we'll quote it.

Who it's for

  • Small-business teams that want to use AI tools in their daily work with good review habits.
  • Chambers of commerce, BOCES, trade schools and trade programs that want a practical session for their members or students.

What you get

  • AI for small-business teams: a working session on using AI for routine writing, research and checking, and on reviewing what it produces before anyone relies on it.
  • Getting found online, for trades: what a contractor needs to show up when a homeowner searches, including a website, a business profile, reviews and fast follow-up.

How it works

  • We agree on the audience, the format and the length with the host organization.
  • We build each session around the group's own examples where we can.

What it is not

  • Not a certification program.
  • Not a sales pitch. The session stands on its own.
Specialties

For the buyers who need them.

Two narrower offers, for sales teams and for directory operators. They come from the same work and follow the same rule: a person reviews everything.

Specialty

Discovery-to-Proposal

A workflow that turns discovery-call notes into an internal analysis, a technical handoff and a draft proposal, with each point tied back to what the prospect actually said.

It packages a discovery-to-proposal workflow we built in-house for sales and presales work.

Pricing: scoped per business. Tell us how your business runs and we'll quote it.

Who it's for

  • Sales engineers and presales teams.
  • Managed service providers, consultancies and fractional sales leaders who write a lot of proposals.

What you get

  • The workflow set up for your team and your proposal format.
  • Quality rules that flag points the call notes don't support.
  • A short playbook and a working session with your sellers.

How it works

  • We start from a few of your past calls and proposals.
  • We set up the workflow and tune it to your format.
  • Your seller reviews and edits every draft before it goes to a prospect.

What it is not

  • Not a CRM, and not a replacement for your sellers.
  • It never sends anything to a prospect on its own.
  • You handle prospect information under your own privacy policy, and we set the workflow up to fit it.
Specialty

Directory Operator Toolkit

Tools for running a business directory or a multi-location catalog: drafting listing descriptions from each business's own website, and dropping any claim the draft can't match to that site.

It grew out of the tools we built to run Find A Pro WNY.

Pricing: scoped per business. Tell us how your business runs and we'll quote it.

Who it's for

  • Directory operators.
  • Franchisors and multi-location brands that keep a catalog of locations or members.

What you get

  • Draft listing descriptions written from each business's own public website.
  • A check that removes any claim the draft can't tie to a quoted line on that website.
  • A review queue, so a person approves each description before it is published.

How it works

  • You supply your listings data.
  • We run the toolkit for your catalog as a done-for-you service.
  • Your team reviews and approves the drafts.

What it is not

  • Not verification. Matching a claim to a business's website shows the business said it, not that it is true.
  • Not a source of listings. We don't build or seed your catalog from third-party data.
